Responsible for managing and coordinating group travel bookings from initial inquiry to finalization. This role involves handling reservations, liaising with suppliers, maintaining accurate records, and ensuring exceptional customer service for group travel clients. The ideal candidate is detail-oriented, organized, and has a passion for the travel industry. Assist Group Sales Agent with client files and administrative duties.
How You Will Be Spending Your Time
· Maintain accurate and up-to-date records of group bookings.
· Prepare and send invoices, contracts, and travel documents.
· Track deadlines for deposits, final payments, and ticketing requirements.
· Process group travel requests, quotes, and bookings for clients.
· Coordinate with airlines, hotels, tour operators, and other suppliers to confirm reservations.
· Ensure all travel arrangements align with client requirements and company policies.
· Communicate with travel agents, tour leaders, and clients to provide updates and resolve issues.
· Negotiate group rates and terms with suppliers when needed.
· Assist with last-minute changes, cancellations, and rebooking when necessary.
Specialized Knowledge, Skills, Attributes Required You Need to be Successful
Diploma or degree in Tourism, Hospitality, or a related field.
Strong organizational and multitasking abilities.
Excellent communication and negotiation skills.
Proficiency in travel booking systems (GDS experience is an asset).
Ability to work in a fast-paced environment and meet deadlines.
Strong attention to detail and problem-solving skills.
Working Conditions
· Remote or Hybrid
· Monday to Friday from 9:00am – 6:00pm EST
